Job Description:

A. Facilities:

  1. Ensure the workplace is fully functional, clean, safe, and ready for daily operations.
  2. Coordinate office logistics, seating, meeting spaces, access control, and common areas.
  3. Respond to and resolve day-to-day facilities and administration issues within defined service levels.
  4. Oversee maintenance, repairs, and preventive servicing of office infrastructure and equipment.
  5. Maintain accurate asset registers, including furniture, fixtures, and office equipment.
  6. Plan and execute moves, changes, and space reconfigurations as business needs evolve.
  7. Engage, coordinate, and monitor third-party vendors (maintenance, housekeeping, security, pantry, etc.).
  8. Manage service contracts, SLAs, and renewals, ensuring quality and cost control.
  9. Validate vendor deliverables and support invoice review and approvals.
  10. Track and control facilities and office administration budgets.
  11. Forecast recurring costs and flag variances or cost-overruns.
  12. Support cost optimization initiatives, including cost-per-seat and vendor rationalization.
  13. Ensure compliance with health, safety, fire, and building regulations.
  14. Conduct regular safety inspections, drills, and incident reporting.
  15. Maintain documentation required for audits, inspections, and statutory reviews.
  16. Act as the primary point of contact for workplace-related employee requests.
  17. Ensure consistent standards for cleanliness, hygiene, comfort, and hospitality.
  18. Support internal events, visits, and meetings from a facilities and logistics perspective.
  19. Coordinate closely with HR, IT, Finance, Security, and Leadership on workplace needs.
  20. Communicate clearly on downtime, changes, policies, and service updates.
  21. Manage escalations and ensure timely resolution of cross-functional issues.
  22. Develop, maintain, and follow standard operating procedures (SOPs).
  23. Use systems or ERP tools to track requests, assets, vendors, and costs.
  24. Identify and implement process improvements to enhance efficiency and reliability.
  25. Support emergency preparedness and business continuity plans related to physical workplaces.
  26. Ensure backup arrangements for critical services (power, access, essential vendors).
  27. Assist leadership during incidents, disruptions, or office closures.

B. Innovation:

  1. Represent the SPS Innovation Lab to National Science Park management on all innovation-related matters.
  2. Prepare and deliver presentations, briefings, and updates required by the National Science Park on innovation activities, programs, and outcomes.
  3. Prepare, submit, and manage the Annual Tenant Evaluation Report and any other innovation-related reporting required by the Science Park.
  4. Act as the primary host and representative of the Innovation Lab for Science Park visitors, delegations, academic groups, industry partners, and startup visitors.
  5. Build and manage collaborations with academia, including universities, research institutions, faculty, and student engagement programs.
  6. Build and manage collaborations with industry partners for joint innovation, pilots, demonstrations, and applied research.
  7. Enable and support startup engagement, including lab visits, early-stage collaboration, demos, and ecosystem networking.
  8. Design, launch, and manage innovation programs hosted within the lab, aligned with SPS strategic priorities.
  9. Lead talent pipeline initiatives, including internship programs operating from the lab, ensuring interns are productively engaged in innovation work.
  10. Coordinate innovation-related onboarding, engagement, and day-to-day support for interns and early-career talent working in the lab.
  11. Establish and lead Special Interest Groups (SIGs) focused on emerging and cutting-edge technologies such as AI, Cybersecurity, Cloud, IoT, and related domains.
  12. Facilitate knowledge-sharing sessions, talks, demos, workshops, and innovation events within the lab.
  13. Manage and keep updated the Innovation Lab web pages, digital content, and public-facing innovation information.
  14. Act as the coordination point between SPS leadership and external innovation stakeholders across academia, industry, startups, and the Science Park ecosystem.
  15. Track, document, and report innovation activities, partnerships, programs, and outcomes for internal and external stakeholders.
