Job Description:
- Ensure the workplace is fully functional, clean, safe, and ready for daily operations.
- Coordinate office logistics, seating, meeting spaces, access control, and common areas.
- Respond to and resolve day-to-day facilities and administration issues within defined service levels.
- Oversee maintenance, repairs, and preventive servicing of office infrastructure and equipment.
- Maintain accurate asset registers, including furniture, fixtures, and office equipment.
- Plan and execute moves, changes, and space reconfigurations as business needs evolve.
- Engage, coordinate, and monitor third-party vendors (maintenance, housekeeping, security, pantry, etc.).
- Manage service contracts, SLAs, and renewals, ensuring quality and cost control.
- Validate vendor deliverables and support invoice review and approvals.
- Track and control facilities and office administration budgets.
- Forecast recurring costs and flag variances or cost-overruns.
- Support cost optimization initiatives, including cost-per-seat and vendor rationalization.
- Ensure compliance with health, safety, fire, and building regulations.
- Conduct regular safety inspections, drills, and incident reporting.
- Maintain documentation required for audits, inspections, and statutory reviews.
- Act as the primary point of contact for workplace-related employee requests.
- Ensure consistent standards for cleanliness, hygiene, comfort, and hospitality.
- Support internal events, visits, and meetings from a facilities and logistics perspective.
- Coordinate closely with HR, IT, Finance, Security, and Leadership on workplace needs.
- Communicate clearly on downtime, changes, policies, and service updates.
- Manage escalations and ensure timely resolution of cross-functional issues.
- Develop, maintain, and follow standard operating procedures (SOPs).
- Use systems or ERP tools to track requests, assets, vendors, and costs.
- Identify and implement process improvements to enhance efficiency and reliability.
- Support emergency preparedness and business continuity plans related to physical workplaces.
- Ensure backup arrangements for critical services (power, access, essential vendors).
- Assist leadership during incidents, disruptions, or office closures.
- Represent the SPS Innovation Lab to National Science Park management on all innovation-related matters.
- Prepare and deliver presentations, briefings, and updates required by the National Science Park on innovation activities, programs, and outcomes.
- Prepare, submit, and manage the Annual Tenant Evaluation Report and any other innovation-related reporting required by the Science Park.
- Act as the primary host and representative of the Innovation Lab for Science Park visitors, delegations, academic groups, industry partners, and startup visitors.
- Build and manage collaborations with academia, including universities, research institutions, faculty, and student engagement programs.
- Build and manage collaborations with industry partners for joint innovation, pilots, demonstrations, and applied research.
- Enable and support startup engagement, including lab visits, early-stage collaboration, demos, and ecosystem networking.
- Design, launch, and manage innovation programs hosted within the lab, aligned with SPS strategic priorities.
- Lead talent pipeline initiatives, including internship programs operating from the lab, ensuring interns are productively engaged in innovation work.
- Coordinate innovation-related onboarding, engagement, and day-to-day support for interns and early-career talent working in the lab.
- Establish and lead Special Interest Groups (SIGs) focused on emerging and cutting-edge technologies such as AI, Cybersecurity, Cloud, IoT, and related domains.
- Facilitate knowledge-sharing sessions, talks, demos, workshops, and innovation events within the lab.
- Manage and keep updated the Innovation Lab web pages, digital content, and public-facing innovation information.
- Act as the coordination point between SPS leadership and external innovation stakeholders across academia, industry, startups, and the Science Park ecosystem.
